How to catalogue a Pokémon card collection

Sort once, in the right order, and the cataloguing part becomes almost mechanical.

The mistake is starting with a spreadsheet. Sort the physical cards first — the order you sort in determines how painful everything after it is.

Sort by set, then by number

Set first, because the set symbol and collector number together identify a card unambiguously, and because cards from one set stay together for the rest of their life in a binder.

Then by collector number within the set. This matches how every checklist, binder and app is ordered, so any future task — completing a set, valuing it, selling it — lines up with how the cards already sit.

Separate the variants as you go

Put reverse holos in their own pile, not mixed with the base cards. They look similar in a stack and are genuinely different entries.

If you skip this, you will do it later with far more cards, and in the meantime any completion percentage you calculate will be wrong.

Record the printing, not the Pokémon

Whatever you catalogue into, the useful unit is set + collector number + variant. "Charizard" is not a record; "Charizard, Base, 4/102, holo" is.

Add condition while the card is in your hand. Going back later means handling everything twice.
